Visa Application
The GEC is an international conference, and we are looking forward to welcoming attendees from around the world in Bochum in 2016.
This information is for non-EU citizens traveling to Germany to attend the GEC.
We encourage attendees to apply for your visa as early as possible. It might take longer to receive one than you might expect. If you need a letter of invitation to do so, we offer to send you such a letter for the GEC 2016. You need to register first and hand in a contribution to the conference.
We send the letter as a scanned copy (PDF) via email and as a regular letter via mail to the adress written on your registration. We do not send letters via express. If it is urgent, please apply for the letter of invitation early enough. The delivery by regular mail might need some weeks.
The letter of invitation is intended to assist participants who need to obtain a visa to attend the GEC at RUB. This is not a commitment on the part of the conference to cover fees and/or any other expenses or provide financial support. The organisers will not be able to contact any German embassy or consulate office abroad on your behalf.
The organisers are not to be held responsible for the outcome of your visa application. Receiving an invitation to this conference, no matter how detailed it may be, does not guarantee you a visa to enter the EU or Germany. It will not provide you with the documentation necessary to grant you any specific period of stay, either before or after the conference. It will not necessarily extend to cover the travel or entry into any country of you, your family members, or others traveling with you.
As you will be staying at a hotel which you booked by yourself, we cannot send you a confirmation of a hotel booking with your name on it. If you prefer to stay for a longer period of time in Germany, you need to take care of your accomodation by yourself.
As different embassies require different information, we need you to tell us what exactly you need on this letter and send us these information:
- your name exactly as it appears on your passwort
- your current mailing address
- your birthdate
- your passport number
- your submitted abstract title and all authors
If your letter of invitation needs to be written with a specific date, please inform us about this in your first email.
We only write letters of invitation for the dates of the GEC. We do not invite you to come to Germany for a month and ensure we cover the expenses for your stay.
